How do I sign up for SekiHQ? +
Go to the signup page and use email + password or one-click Google sign-in. 7-day free trial with full feature access. Card required at signup — cancel before day 7 and you're never charged.
What should I do first after signing up? +
Follow the welcome wizard (/welcome) after signup:
  • Step 1: pick your role + keigo register preference
  • Step 2: connect Gmail — the single most valuable step
  • Step 3: invite teammates (optional)
Within ~5 minutes of connecting Gmail, contacts and warmth scores auto-populate from your past correspondence.
Why is a credit card required at signup? +
To keep trials high-quality and filter for serious evaluators. Cancel before day 7 and you're never charged. Payments are processed securely by Stripe — we never store card details. On day 8, your selected plan begins billing automatically.
Gmail integration
What does SekiHQ read from Gmail? +
SekiHQ retrieves only subject lines, sender/recipient emails, and timestamps.
  • ✗ Message bodies are not read or stored
  • ✗ Attachments are never touched
  • ✗ Read-only scope only — we never request send permission

Why aren't contacts auto-creating after Gmail connection? +
Initial sync takes up to ~5 minutes. If contacts still don't appear:
  • Only senders you've exchanged 2+ emails with in the last 7 days are auto-created (one-off senders are skipped)
  • Automated senders (noreply, notifications, etc.) are filtered out
  • Check the Gmail Integration section in settings for the sync log
How do I disconnect Gmail? +
Go to Settings → Gmail Integration and click "Disconnect". We delete your stored access tokens immediately. Already-synced contacts and history remain (you can delete them manually).
Using features
How do I choose the right keigo register? +
  • Sonkeigo (most formal): first contact, senior executives, very high status
  • Kenjogo (humble): when making requests or proposals, lowering yourself
  • Teineigo (standard): everyday business, established relationships (most common)
SekiHQ proposes the appropriate level based on past correspondence (the "Enrich from emails" feature).
How is the warmth score calculated? +
Scored 0-100 using these weights:
  • Reply frequency: 40%
  • Response latency: 25%
  • Days since last contact: 25%
  • Conversational reciprocity: 10%
Buckets: 75-100 Hot, 50-74 Warm, 25-49 Cooling, 0-24 Cold.
What is the En Map? +
A solar-system visualization of your relationships. Contacts orbit you on rings sized by warmth — hotter contacts orbit closer. One glance shows who's active and who you're neglecting.
How do I use the Ma Timing recommendations? +
Each contact gets one of these daily recommendations:
  • Ideal window: Ma is right — send a warm check-in
  • Slightly overdue: gentle re-engagement
  • Recovery needed: careful, sincere re-warming
  • Wait: too soon to reach out
  • Holiday: Obon, New Year, Golden Week — refrain from outreach
Billing & plans
How do I cancel during the trial? +
Go to Settings → Billing, click "Open billing portal", then in Stripe's portal select "Cancel subscription". Cancel before day 7 and you'll never be charged.
How do I change plans? +
In Settings → Billing, click "Change your plan" to see all 3 paid tiers and toggle monthly/annual. Stripe handles proration automatically on plan switches.
How much does adding a seat cost? +
Additional seats cost the per-seat rate of your current plan (e.g. Growth monthly = ¥12,800/seat). The moment a new member accepts an invite, Stripe prorates the charge for the remaining days of your current billing cycle.
How is Japanese Consumption Tax (JCT) calculated? +
Japanese customers automatically receive a 10% JCT charge added via Stripe Tax. Invoices clearly show the base price, tax amount, and total.
What's the difference between annual and monthly billing? +
Annual billing gives you 2 months free (you pay for 10 months of 12). The annual total is charged upfront at subscription start.
Account & team
How do I invite team members? +
Go to Settings → Team, enter the email and role (member/admin), then click "Send invite". An invite email is sent automatically.
What's the difference between owner, admin, and member roles? +
  • Owner: full access — billing, plan changes, all settings. One per org.
  • Admin: invite/remove members, manage org settings (no billing access).
  • Member: view/edit contacts and interactions, use AI features.
What if I forget my password? +
On the sign-in page, click "Forgot password?" and enter your registered email. A reset link will arrive shortly.
Privacy & security
How is my data protected? +
  • All traffic encrypted with TLS 1.3
  • Stored data uses enterprise-grade encryption (Supabase)
  • Multi-tenant isolation via PostgreSQL row-level security
  • Passwords bcrypt-hashed (never stored in plaintext)

Will my email data be used to train AI models? +
No. We use Anthropic Claude for AI features, but under our enterprise agreement with Anthropic, prompts sent via SekiHQ are not used to train their models. We never send data to Google, Meta, or anyone else for AI training purposes.
What happens to my data if I cancel? +
You have 30 days post-cancellation to export your data via CSV. After 30 days, your data is permanently deleted (except billing records we're legally required to retain).
